Load Sessions
Load sessions are the core operational workflow for loading equipment onto vehicles or preparing for events. This guide explains how to use load sessions effectively.
Understanding Load Sessions
A load session represents a single loading operation for a project. It tracks:
- What was planned to be loaded
- What has actually been loaded
- Missing items
- Extra items (not in plan)
Creating a Load Session (Producer/Admin)
- Navigate to a Project detail page
- Click Create Load Session
- The session is created and opened automatically
Load Session Page
The load session page provides a friendly interface optimized for operational use.
Status Cards
At the top, you'll see four status cards:
- Planned: Total items planned
- Loaded: Total items loaded
- Missing: Items not yet loaded
- Extra: Items loaded but not in plan
QR Scanner
The main interface features a large QR scanner:
- Position the QR code in view
- The system automatically processes the scan
- Confirmation dialogs appear when needed
Quantity Operations
For items with quantities in the plan:
- Quick buttons: +1, +5, +10, -1, -5, -10
- Adjust quantities without scanning
- Real-time status updates
Scanning Assets
Asset in Plan
- Scan the asset QR code
- Asset is automatically loaded
- Status updates immediately
Asset Not in Plan
- Scan the asset QR code
- Confirmation dialog appears
- Choose:
- Yes, load: Add to plan and load
- No, cancel: Ignore the scan
Collision Detection
If an asset is already loaded elsewhere:
- System detects the collision
- Shows conflict details
- Requires override reason if proceeding
Scanning Kits
Global Kit (Complete)
- Scan the global kit QR code
- All kit members are automatically loaded
- Status updates for all items
Global Kit (Incomplete)
- Scan the global kit QR code
- System shows missing items
- Scan individual pieces to complete
Project Kit
- Scan the project kit QR code
- Kit details are displayed
- Individual items must be scanned separately
Load Planning
Before scanning, you can plan what needs to be loaded:
- Click Plan button in session header
- Add plan lines:
- Asset: Specific asset
- Item Qty: Item with quantity
- Global Kit: Complete global kit
- Project Kit: Project kit reference
- Plan lines appear in the session
Closing a Session
When loading is complete:
- Click Close Session button
- Confirm closure
- Session status changes to CLOSED
- No more scans can be added
Note: Closed sessions cannot be modified.
Real-Time Updates
The load session page:
- Polls status every 2 seconds
- Updates automatically
- Shows current progress
- Displays missing/extra items
Best Practices
- Plan First: Create a load plan before starting
- Scan Systematically: Work through items methodically
- Check Status: Monitor missing/extra items regularly
- Handle Collisions: Review and resolve conflicts promptly
- Close When Done: Close sessions when loading is complete
Troubleshooting
Asset Not Scanning
- Check QR code is clear and readable
- Verify asset exists in system
- Check session is open
Quantity Issues
- Use quantity operations for items
- Verify planned quantities
- Check for missing items
Session Won't Close
- Ensure all planned items are loaded (or intentionally skipped)
- Check for open confirmation dialogs
- Verify you have permission to close
